Inventory item

An inventory item is the countable half of a variant. Stock levels attach to it, one per location, not to the variant itself.

Tom Beckwith

Most merchants never see the words. They matter the day you add a second location or connect an app.

The shape of it

A variant is what a customer buys. An inventory item is what you count. Every variant has exactly one, and the item holds the details that describe the goods rather than the sale:

  • Whether stock is tracked at all
  • The country of origin and tariff code
  • The cost per item
  • One stock level for each location it is stocked at

Quantities never sit on the variant. They sit on the item, once per location.

Why apps talk about it

An app that changes stock talks to inventory levels, and a level is an inventory item plus a location. That is why a receiving app asks which location you are booking into: without one, there is nothing to write to.

Where it goes wrong

A CSV sets a quantity but the variant has tracking turned off. The import reports success, the inventory item ignores the number, and the product goes on selling past zero.

The other one is expecting a total. There is no single stock figure on an item, only one number per location, so a store with three locations has three numbers and a sum somebody has to ask for.

Related terms

Variant

A variant is one buyable version of a Shopify product, such as the blue medium. Stock, price and barcode all live on the variant.

Location

Also called: Shopify location

A location is a place Shopify holds stock, such as a shop, a stockroom, a warehouse or a third party who ships for you.

Inventory tracking

Also called: Track quantity

Inventory tracking is the setting that tells Shopify to count a variant. With it off, Shopify holds no quantity at all.

Stop counting boxes twice

Install the app, scan a delivery and see your stock update in Shopify. It takes about four minutes to set up.
